Who we are
Agenviva (agenviva.com) is operated by ED Communications, Brockville, Ontario, Canada. For any question about your data, write to [email protected].
Two roles, depending on the data
- Your account (professional or patient): Agenviva decides how this data is used, and is responsible for it.
- The records a professional keeps about their patients (contact details, appointments, notes): the professional is responsible for them. Agenviva stores and processes them only on the professional's behalf, to provide the service.
What we collect
- Professionals: name, email, phone, office address, profession, and the settings of their space (hours, appointment types, visibility).
- Patients, in their professional's space: name, contact details, date of birth, sex, address, appointments, notes and flags written by the professional.
- Patient accounts: name, contact details, date of birth, address, and the appointments they book.
- Payments: handled by Stripe. Agenviva never sees or stores card numbers.
- Technical data: the cookies needed to keep you logged in and remember your language. No advertising or tracking cookies.
Sensitive data
Appointments and notes can reveal information about a person's health, which the law treats as sensitive data. We ask patients for their express consent when they create an account. A professional who enters a patient in their space must have that patient's consent, and can point them to this notice.
Why we use it
- To provide the service: accounts, schedules, bookings, confirmations and reminders.
- To keep the service secure, bill subscriptions, and answer support requests.
We never sell your data, never share it for advertising, and never use patient records for any other purpose.
Who can see it
- A professional sees only their own patients. A patient sees only their own appointments.
- The Agenviva admin portal never shows patient records, only how many patients and appointments an account has. Our developers access the database only to keep the service running or fix a problem.
- Service providers, only for what they do for us: Cloudflare (network and security), Brevo (emails), Stripe (payments), Microsoft OneDrive (encrypted backups). Later, a WhatsApp or SMS provider for reminders. Some of them process data outside your country, including in Canada, the United States and the European Union.
The directory of professionals
To build our directory, we keep internal listings of professionals from public sources, such as the official business directory of Mexico (DENUE, INEGI): professional name, office address and professional contact details. Nothing is published without the professional's agreement. Any professional can ask to see, correct or remove their listing; a removed listing is never recreated.
Security and retention
Connections are encrypted (HTTPS), each account only reaches its own data, and a daily encrypted backup is kept outside our servers. We keep your data while your account is open. When an account is closed, we delete its data within 90 days, unless a law requires us to keep it longer.
Your rights
You can access, correct or delete your data, object to its use, or withdraw your consent, by writing to [email protected]. We answer within 20 business days. If you are a patient and your data was entered by your professional, you can also ask them directly.
Changes
Agenviva is in beta. If this notice changes in a way that matters, we will tell you by email or in your space before the change applies.
